Market Process

Confirm you’re in for next month

STEP 1: Myf will put the question out there as to who would like to be involved in next months market within The Roost Markets page and Roost Bulletin Board (INTERNAL) page. Comment on the post to confirm your attendance.

STEP 2: Justine usually sends an email to confirm your attendance for the following month. Myf to reply with confirmed people names/ links to their instagram account and how many marquees for The Roost.

2-3 people: One marquee
3-5 people: Two marquees

STEP 3: Once the email regarding next months outstanding invoice is received, forward onto [email protected]

$15 for Virtual Roosters

STEP 4: If you’re a virtual Rooster, expect to find an invoice of $15 to confirm your spot at the stall. 
Full-time Roosters attendance is included in monthly rates.

STEP 5: Myf to copy and paste email details from Justine to The Roost Markets page and tag roosters who have confirmed their involvment.

STEP 6: Download the marketing material and share on your socials. Be sure to add the event from Olive Tree’s facebook page to your busienss page.

Has the market been cancelled? 

Myf to have everyone’s phone numbers and confirm cancellation via text message.
Virtual payments are non-refundable if the market is cancelled or unable to attend, unless someone else is able to fill the spot.

Friday arvo, packing of the car’s

STEP 6: Friday afternoon we meet from 5:30pm* to pack the gear that’s stored at The Roost. It’s all behind the door on the landing before heading into The Roost from the stairs. 
We need to make sure the marquee/tables and boxes can be transported in someone’s car when confirming who’s attending the market. No transport ability, no market.

*If you’re unable to make this time be sure to be in communication with the team so they have you covered.

7am arrive at Civic Park

STEP 7: We meet at Civic Park and unpack the cars in the standing bay across from Rascals. Once cars are emptied, head to Hunter Parking and Storage to park.

Set up 

ENJOY THE MARKET: Set up the space, grab a coffee, shout each other gf donuts and enjoy the day ahead. 

Make sure everything looks neat and tidy, even out the back of the marquee.

2pm pack down

STEP 8: Once 2pm rolls around it’s time to start packing down. It is not advised to pack down before this time unless told to by the markets organisers. 
Work together to pack it all down. Those who are bringing their cars around, head off and do so whilst someone waits back with the final finishing and moving the gear to the drop-off zone.

Pack the cars and head back to The Roost

STEP 9: Once the cars are packed, meet back to The Roost for the fun part of hauling it all back up to the cupboard upstairs.

PARTY TIME: Make sure the cupboard is left nice and organsied, enjoy the rest of your day relaxing. 
If you processed a payment for a fellow rooster, send through the funds when you can.

PACKING LIST

From The Roost

Black Marquee

The Black Marquee is supplied by The Roost and is to be used at every market. It holds The Roost flag in it’s pocket.

Please bring the black one along to every market.

Tables

The Roost has two large 12ft  foldable tables and Two 6ft tables.

Depending how many people at the markets depends as to how many tables to bring.

Boxes
  1. Signage + Other Misc
  2. Tablecloths, Netting walls, White walls

Sarah Cockroft stores her box in that space so only bring that along if Sarah’s attending.

Please bring along the two boxes to every market.

Sand bags

Four sandbags are required for each market. We place them on the outer posts if two marquees are joined together. 

Please bring along to every market.

The Roost flag

The Roost flag and rectangle weight base (currently MIA) needs to come along to each market. It is stored within the black marquee.

To use at every market. Stored in side pocket of black marquee.

Chairs

We currently have 4 foldable chairs. Bring however many is needed for the market.

ON LOAN FROM A ROOSTER
Marquee

The Grey Marquee is supplied by Myf and only needs to be used when two marquee’s are booked.

Myf’s marquee used when two marquees are needed.

Trolley

The blue trolley is on loan from Hannah Brien.

Handy to bring along to carry sandbags.

THE ROOST SUPPLIES IF NEEDED
Black Stands

Two large stands and two small stands are available that hold a mixture of A4 to A5 works.

Depending on whether someone will use to display their work will depend on whether you need to bring these.

Awning

If it looks like a potential for rain it’s handy to bring the grey bag which has an Oztrail awning in it. We only have the one so may look a bit bizzare but potentially handy. 

WHAT YOU NEED TO BRING ALONG

On the day

Stock

Bring along your stock and however you’d like to display it. The Roost has access to those black stands that can be seen in the header image of The Roost Markets page, which you’re welcome to use. We also have the black netting for the walls where you can hang things from. Anything else, bring it along and see if it works in the space. 
Please make sure you’re allowing enough space for everyone to be shown and willing to cut down on items if you have too much.

Small Signage

If you have any signage you want to add to your area, bring it along. Nothing too massive though as it’s The Roost we’re promoting mostly otherwise it gets too confusing for customers. 

Payment Processing System

We usually use Square when processing payments or cash. If a customer purchases a few things from those at the stall on the day it’s handy to take one transaction then divi up the cash later on. 
Square does charge a fee so be sure to add that in when sending payments.

Snacks & Water

Be sure to bring along food, a water bottle and extra layers if it’s cold!

Reusable Cup

Bring along your reusable cup for those many coffee’s/hot chocolates. 

Can-Do Attitude

It’s a bit of a mission setting up and packing down, so it’s massively appreicated that we all pitch in where possible.
The time commitment is;
– Friday afternoon to pack
– Saturday from 7am to setup
– Saturday 9am – 2pm market stall 
– Saturday 2pm till around 4pm for packdown and taking back to The Roost
